Separate data and business property first

Remove records, drives, keys, access cards, branded materials, and any equipment that remains company property. Do not leave data-bearing devices in a general junk pile without an approved handling plan.

Assign one decision-maker who can answer questions on pickup day.

  • Paper records and locked cabinets
  • Computers, drives, and network equipment
  • Keys, badges, and building credentials
  • Leased or vendor-owned equipment

Map the office by zone

Photograph private offices, conference rooms, reception, break rooms, storage, and utility areas separately. Count large furniture and show anything that must be disassembled.

For phased work, label each zone with its approved date and scope.

  • Room or department name
  • Furniture count
  • Electronics list
  • Keep-versus-remove labels

Coordinate the building

Confirm freight-elevator, dock, loading, security, and after-hours requirements. Share the exact window and onsite contact before scheduling.

If the lease requires a particular condition after removal, include that requirement in the project notes.
